Write a small-team procedure someone else can follow

Document one recurring task with clear inputs, observable checks, exceptions and a review owner, then test it with a colleague.

Replace “as usual” with a step someone can check

An SOP is a standard operating procedure: written instructions for repeatable work. Start with one trigger and one finished result, then describe the actions and decisions between them.

For each step, pair the action with evidence that it worked:

Weak instruction More useful instruction
Check the request. Copy the project name and lead from the approved request; resolve any disagreement with the project index before setup.
Add the team. Add only the internal members listed in the approved request, then compare the membership list with it.
Make sure it works. Ask a listed colleague to open the workspace and brief; record any missing access.

Include the information required before starting, what to do when it is absent, and who can decide an exception. A procedure should not force someone to guess whether they may proceed.

Ask a colleague who did not write the draft to follow a safe example and identify the missing instructions. Keep testing separate from formal approval of the process.
